About the Role

We're hiring a Spa Coordinator to join our team at the RL Center for Cosmetic Surgery & MedSpa. As a Spa Coordinator, you will play a crucial role in delivering an elevated patient-first experience in our aesthetic practice. This position is essential for maintaining the daily flow of operations while ensuring treatment spaces are always clinic-ready. What You'll Do

  • Welcome and prepare patients with professionalism, warmth, and discretion, ensuring a positive patient experience.
  • Maintain patient privacy and confidentiality in every interaction, adhering to HIPAA regulations.
  • Confirm intake forms are complete and document pertinent visit details accurately.
  • Set up treatment rooms according to protocols and scheduled services, ensuring a seamless patient journey.
  • Educate patients on pre/post care and reinforce provider instructions to enhance their understanding and comfort.
  • Cross-promote services and retail offerings using accurate, brand-aligned language to boost patient engagement.
  • Support front-of-house needs, including phones and scheduling, to maintain operational excellence.
  • Demonstrate flexibility with volume shifts, events, evenings, and occasional weekends as needed.

Requirements

  • High School Diploma or equivalent.
  • 1+ year experience in a med spa/aesthetics/spa assistant/medical assistant-style support role.
  • Strong communication skills, empathy, and a patient-first mindset.
  • Reliable, punctual, detail-oriented, and able to multitask in a fast-paced setting.
  • Proficiency with EMR systems (Nextech or similar), Microsoft Office, and clinical photography equipment.

Nice to Have

  • Experience in a high-volume support role is preferred.
  • Working knowledge of skin anatomy and comfort in a clinical environment.
