About the Role

We are seeking an Executive Assistant to join the City of Danville's Municipal Utilities Department. This position offers a unique opportunity to support municipal operations while ensuring efficient communication and coordination within the department. As an Executive Assistant remote, you will play a vital role in maintaining the operational integrity of the Utilities Department.

What You'll Do

  • Perform general office and clerical work at the direction of the Municipal Utilities Director.
  • Assist in the preparation of materials for legal counsel and required documents for Board of Commissions meetings.
  • Compose and prepare business letters, memos, and reports.
  • Research, extract, and summarize information on behalf of Municipal Utilities.
  • Support utility staff in submitting various reports and certifications to state and federal regulatory agencies.
  • Conduct deed research and assist in the development of State and Federal Grant opportunities.
  • Organize and maintain central utility files and coordinate the system for file retention.
  • Serve as a liaison with other municipal operations and the general public.

Requirements

  • Strong working knowledge of utility operations and related organizational codes.
  • Proficient in Microsoft Office Suite.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with various stakeholders.
  • 3-5 years of administrative experience in a professional environment.
  • High school diploma or GED required; an associate degree in business administration or public administration is preferred.
  • Valid driver's license.
  • Ability to maintain confidentiality and work with minimal supervision.

Nice to Have

  • Experience in municipal government operations.
  • Knowledge of KY Admin. Regulations and local city codes.
  • Ability to take and type minutes for boards and committees.
