About the Role

We are seeking a proactive and highly competent Executive Assistant (Marine, Trade and Offshore) to join our dynamic team. This Executive Assistant remote position offers the opportunity to thrive in a fast-paced environment while supporting our ambitious firm in achieving its strategic goals. You will play a crucial role in managing complex tasks and projects, providing essential support to fee earners and clients.

What You'll Do

  • Proactively manage fee earner diaries, prioritizing commitments and arranging appointments across various time zones.
  • Develop and maintain a robust file management system for all correspondence and documents.
  • Coordinate travel arrangements, ensuring compliance with the firm's Travel Policy.
  • Build and maintain strong relationships with internal and external clients.
  • Support lawyers in marketing activities and assist with event management.
  • Manage billing processes, ensuring accuracy and compliance with financial requirements.
  • Draft high-quality correspondence and documents on behalf of fee earners.
  • Mentor and coach junior team members, fostering a collaborative environment.

Requirements

  • Excellent academic background with relevant experience in a law firm.
  • Proficiency in complex travel and diary management.
  • Advanced Microsoft Office skills and commercial acumen.
  • Strong organizational skills with attention to detail.
  • Ability to remain calm under pressure and meet tight deadlines.
  • Excellent communication skills and a collaborative mindset.
  • Experience in client relationship management and stakeholder confidentiality.
  • Proven ability to drive tasks forward independently.

Nice to Have

  • Experience in the Marine, Trade, or Offshore sectors.
  • Knowledge of compliance and risk management processes.
  • Familiarity with client relationship management systems.
