About the Role

We are seeking a Foundations Assistant to join our team at Audemars Piguet, focusing on sustainability and community empowerment. This Foundations Assistant remote position will primarily involve managing the secretariat of the Foundations under the supervision of the Head of Finance & Administration. You will play a crucial role in ensuring effective communication and administrative support for our initiatives.

What You'll Do

  • Act as the first point of contact for all inquiries directed to the Foundations, including processing unsolicited funding requests and ensuring the follow-up of signature processes.
  • Organize and provide administrative and logistical support for Foundation Council meetings and selection committees (including invitations, agendas, and supporting materials).
  • Contribute to the preparation of key documents and content, such as annual reports, impact analyses, and editorial materials.
  • Manage the daily logistics of the Foundations (scheduling, travel, meetings, suppliers, events) while ensuring compliance with filing and archiving procedures.
  • Support the volunteer program by coordinating registrations, reporting, back office tasks, expense notes, and organizing information sessions or workshops.
  • Maintain a dynamic and reliable database related to volunteer reporting elements.
  • Contribute to communication activities, including content creation, organizing photo shoots, managing the media database, updating websites and social media, monitoring indicators, and digital monitoring.
  • Assist Group partners and subsidiaries with their communication needs related to the Foundations.

Requirements

  • Holder of a CFC in Business Administration or an equivalent qualification, with 4 to 5 years of professional experience in administrative management within dynamic multicultural environments.
  • Fluency in French and English, both spoken and written.
  • Proficient in Microsoft Office Suite and familiar with collaborative tools (SharePoint, Teams, etc.). Knowledge of UX is a plus.
  • Excellent analytical and synthesis skills, capable of processing diverse information and extracting key insights effectively.
  • Strong attention to detail, reliability, and strict adherence to processes; recognized for exemplary organization and rigor.
  • Ability to work independently while managing multiple tasks, driven by natural curiosity and a commitment to continuous learning.
  • Demonstrate impeccable discretion and a high sense of confidentiality while maintaining smooth and professional interactions with stakeholders.

Nice to Have

  • Experience in non-profit or foundations sector.
  • Knowledge of environmental, social, and governance (ESG) principles.
  • Familiarity with project management tools.
