Executive Assistant - Remote Opportunity
About the Role
We are seeking an Executive Assistant to join our Chairman Office in a remote capacity. This role is pivotal in providing high-level administrative support to the corporate activities of the Chairman Office. As an Executive Assistant, you will be responsible for managing a complex agenda, coordinating meetings, and ensuring smooth operations within the office.
What You'll Do
- Answer and filter incoming telephone calls, ensuring effective communication.
- Manage a complex agenda and arrange meetings with internal and external stakeholders.
- Sort all incoming correspondence and highlight priorities for the Chairman.
- Type high-quality written materials in both French and English.
- Maintain an efficient contacts and mailing database.
- Implement an effective retrieving and filing system.
- Welcome high-level visitors and manage logistics for meetings.
- Coordinate travel arrangements for the Chairman and key business stakeholders.
- Oversee office management, including supplies and maintenance issues.
- Process expense claims and liaise with the accounts department for payments follow-up.
Requirements
- Solid administrative experience in a corporate environment, preferably reporting to C-level executives.
- A degree in administration or equivalent certification.
- Excellent relationship-building skills and a team player mentality.
- High level of discretion and diplomacy with all stakeholders.
- Resourceful with a keen attention to detail, able to solve problems autonomously.
- Ability to work under pressure and meet tight deadlines.
- Advanced proficiency with Office365 tools (Word, Outlook, Excel, Teams), Concur, and Adobe Acrobat.
- Excellent written and verbal communication skills in both French and English (C2 level).
