About the Role

We are seeking an experienced Office Manager & Communications Assistant to join our team at American Tower. This remote role offers a unique opportunity to provide comprehensive administrative support to our European headquarters based in Amsterdam. As the Office Manager, you will play a crucial role in ensuring smooth operations and effective communication across teams, while representing the company with professionalism in all interactions.

What You'll Do

  • Manage calendars for the Head of the Netherlands Office and European leadership team members, coordinating meetings and travel arrangements.
  • Oversee day-to-day office operations and liaise with building management to ensure compliance with health and safety regulations.
  • Negotiate and manage contracts with vendors for office supplies, furniture, and equipment, ensuring cost-effective solutions.
  • Assist with onboarding logistics for new hires, including workspace setup and welcome materials.
  • Organize office-wide meetings and events, handling logistics, catering, and technical setup.
  • Prepare and distribute internal communications in collaboration with Global Communications and European stakeholders.
  • Exercise discretion and sound judgment when handling confidential information, maintaining superior customer service standards.
  • Support the European leadership teams with ad-hoc communications and contribute to other communications-related projects as needed.

Requirements

  • 3+ years of experience as an Office Manager or in a similar role.
  • Excellent organizational skills with the ability to prioritize tasks in a fast-paced environment.
  • Strong written and oral communication skills in both Dutch and English; proficiency in Spanish or German is a plus.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management systems.
  • Ability to work independently and collaboratively, demonstrating strong relationship-building skills.
  • High attention to detail and superior customer service skills.
  • Self-motivated with good strategic and problem-solving abilities.
  • College degree preferred.

Nice to Have

  • Experience in a corporate environment with exposure to global communications.
  • Familiarity with office security systems and protocols.
  • Experience in vendor management and contract negotiation.
