Senior Project Administrative Assistant - Remote Support for SOLAR II
About the Role
We are seeking a dedicated Senior Project Administrative Assistant to join our team and provide remote support for the SOLAR II project in Vientiane, Lao PDR. This role is critical in ensuring smooth project administration and operations, enabling us to advance social protection and labour rights in the region.
What You'll Do
- Provide comprehensive administrative support to the project team, ensuring efficient operations and management of project activities.
- Coordinate logistics for project meetings, workshops, and training sessions, particularly in target provinces and districts.
- Assist project staff in interpreting administrative rules and procedures to facilitate project execution.
- Manage transportation arrangements and hotel reservations, preparing travel authorizations and gathering relevant information for project-related travel.
- Maintain communication with ILO constituents, civil society organizations, and UN agencies to resolve administrative and financial matters.
- Review incoming correspondence and make recommendations for action, ensuring timely responses to stakeholders.
- Oversee project expenditures, ensuring rational use of funds and compliance with financial regulations.
- Prepare detailed budget estimates and assist in negotiations with local partners regarding budgets and agreements.
Requirements
- Completion of secondary school education with formal training in a scientific, labour-related, or administrative field.
- Minimum of six years of operational or administrative support experience, preferably in financial operations.
- Experience in labour-related or social protection fields, particularly with ILO, UN, or NGOs.
- Excellent knowledge of English and Lao languages.
- Strong analytical skills and familiarity with financial and administrative rules and procedures.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and other relevant software.
- Ability to work in a multicultural environment and demonstrate gender-sensitive behavior.
Nice to Have
- Training in accounting or finance.
- Experience in conducting financial training for local partners.
- Knowledge of UN Common System Policies in finance.
